Reservations & Event Policies

We keep our policies simple and human. Here is how reservations, payments, and event logistics work at BiteHaus.

Reservation deposits

Standard event services are reserved online with a deposit of $200–$250, depending on the service — the exact amount is shown on each service page. It is applied in full toward your final event total — it is never an additional fee. Custom events quoted over $1,500 (weddings with extensive coordination, large grazing tables, multi-service events, centerpiece installations) are reserved with a 30% deposit after the proposal is approved.

[OWNER CONFIRMATION REQUIRED: Is the deposit refundable within a window (e.g., 48 hours)? Non-refundable after?]

Final balance

Your remaining balance is due 14 days before your event. Events reserved within 14 days of the event date are invoiced for the full balance at booking. Final pricing reflects your confirmed guest count, location, service time, and selected enhancements.

Guest counts

Final guest counts are confirmed through your planning form. [OWNER CONFIRMATION REQUIRED: guest-count change deadline (e.g., final count locked 7 days before event) and how increases after the deadline are handled.]

Cancellations & rescheduling

[OWNER CONFIRMATION REQUIRED: cancellation terms — e.g., deposit transferable to a new date if rescheduled at least X days out; cancellation forfeit terms; how weather-related rescheduling is treated.]

Availability & lead time

Online reservations require at least 7 days' notice. If a date shows as unavailable online, it may still be open — contact us for additional availability or rush booking options.

Travel & service area

BiteHaus serves St. Petersburg and the greater Tampa Bay area. [OWNER CONFIRMATION REQUIRED: included radius and travel fee structure beyond it.]

Venue, setup & breakdown

Setup and breakdown are included with staffed services. Grazing tables are assembled onsite before guest arrival on a clean, accessible surface provided by the venue unless a table rental is included in your package. [OWNER CONFIRMATION REQUIRED: load-in requirements, stairs/elevator policy, required setup access time per service, power requirements for carts/stations.]

Outdoor events & weather

[OWNER CONFIRMATION REQUIRED: outdoor rules — shade/temperature requirements for cheese and chocolate services, rain contingency, umbrella inclusion for the cart.]

Food safety, allergens & dietary needs

BiteHaus is licensed, insured, and ServSafe certified. Dietary accommodations are collected in your planning form. Items are prepared in a kitchen that handles milk, tree nuts, wheat, and other allergens; while we take care to separate ingredients, we cannot guarantee the absence of cross-contact. Perishable items should be enjoyed within the recommended serving window. [OWNER CONFIRMATION REQUIRED: recommended serving window for drop-off items (e.g., 2 hours unrefrigerated).]

BarHaus & client-provided alcohol

BarHaus operates on a client-provided-alcohol model: you purchase the alcohol; BiteHaus provides the service. [OWNER CONFIRMATION REQUIRED: exact inclusions (mixers, ice, cups, garnishes, tools), staffing ratios, venue insurance requirements, and attorney-approved language regarding alcohol service and liability.]

Drop-off & unattended orders

Platters, cups, and centerpieces are delivered styled and ready to serve. Once delivered or picked up, storage and serving conditions are in your hands — keep refrigerated until serving. [OWNER CONFIRMATION REQUIRED: lead time for direct orders, delivery area/fees, pickup location.]

Late access & client delays

[OWNER CONFIRMATION REQUIRED: policy when venue access is delayed or the event runs long — overtime rate and how it's billed.]

The unexpected

[OWNER CONFIRMATION REQUIRED: force majeure approach — e.g., deposit credited to a future date within 12 months when events beyond anyone's control prevent service.]
